Privacy policy

ClinicTrace Australia is built and run by Stoneglow Digital (ABN 98 279 841 620), a web design and development studio in Brisbane, Queensland. Stoneglow Digital handles personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Registering interest asks for your name and email address. Your clinic’s name, the type of practice, the state and your role are optional.

The form also sends three details that show how visitors find the site:

• the version of this page you registered from
• any campaign tags in the page address, such as a newsletter or advertisement name
• the address of the website that linked you here, if your browser shares it. Only the website is kept, not the page you came from.

The form asks for no payment details, no government identifiers and no patient information.

Stoneglow Digital uses your details to email you when clinics can start using ClinicTrace, and to reply if you write back. They are not used for anything else, and they are not sold or shared for advertising.

The page version and campaign tags are used to count which version of this page, and which links, lead to registrations.

When you register, the site sends two emails through Resend: your details to Stoneglow Digital, and a confirmation to you with the sample record export attached. The site keeps no database of registrations, so your details are held in Stoneglow Digital’s email.

The site is hosted by Vercel, and the form is processed in Vercel’s Sydney region. Vercel keeps standard technical logs such as IP address, browser type and the pages requested. Your IP address is also used to limit repeated submissions from one address.

Each provider handles your information under its own privacy terms, and only for the job it does here.

This site uses Google Analytics and Microsoft Clarity to see which parts of the page help visitors and which don’t. Both load only on clinictrace.com.au.

Google Analytics counts visits and records which links, sections, questions and sample records are used. It sets cookies to recognise a returning browser. It never receives your name, email address or clinic name. When you register, it receives only the practice type, state and role you chose, if any. Google explains how it uses information from sites that use its services.

Microsoft Clarity records how the page is used, including clicks, scrolling and mouse movement, and can replay a visit. The registration form is masked, so what you type into it is not recorded. Clarity sets cookies to recognise a returning browser, and Microsoft processes what it collects under the Microsoft Privacy Statement.

Blocking cookies for this site stops both tools recognising a returning browser. To stop them running at all, use a browser extension that blocks trackers. Google also offers a browser add-on for opting out of Google Analytics. The registration form works either way.

Vercel, Resend, Google and Microsoft are based in the United States. The form is processed in Sydney, but Resend has no Australian region, so your details leave Australia when the two emails are sent. Analytics data is processed outside Australia.

By registering, you consent to that disclosure. Stoneglow Digital sends each provider only what it needs to do its job, and discloses your information to no one else overseas.

Stoneglow Digital keeps your registration for as long as it reasonably needs it to contact you about ClinicTrace. You can ask for your details to be deleted at any time, and they will be, unless the law requires them to be kept.

The site is served over HTTPS and the form is sent over an encrypted connection. Access to Stoneglow Digital’s email is limited to those who need it and protected by multi-factor authentication.

No system is perfectly secure. If a data breach is likely to cause you serious harm, Stoneglow Digital will notify you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.

You can ask what Stoneglow Digital holds about you, ask for a copy, and ask for it to be corrected or deleted. Email clinictrace@stoneglowdigital.com.au. Requests are acknowledged within five business days and answered in full within 30 days, at no charge.

If you think your information has been mishandled, email the same address with the details. If the answer doesn’t resolve it, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

When this policy changes, the date at the top changes with it. If a change affects details you have already given, Stoneglow Digital will tell you directly.
